The GKTW Volgistics Assistant is a browser extension built by Give Kids The World for internal use by GKTW staff. It adds improved views to the Volgistics volunteer management system, starting with an enhanced Who's Here screen. This policy explains what the extension does and does not do with data.

No external servers, no AI service

The extension is fully self-contained. It does not send any data to any server, analytics service, or AI service operated by GKTW or anyone else. Everything happens between your own browser and the Volgistics page you are already logged into.

What data the extension accesses

The Volgistics Who's Here screen — reads the roster already displayed in your browser to render a cleaner view on top of it.
Volunteer profile, schedule, and service pages — only when you click a row's lookup button, the extension fetches that volunteer's Volgistics page within your existing logged-in session (a read-only request, exactly as if you had opened the page yourself) to display flags, the volunteer number, or recent assignment history. The history lookup uses the same view-only "expand" request that the page's own Expand All control sends — it never creates or changes anything.

Where data is stored

Your settings (preferences such as whether the enhanced view opens automatically and whether names are masked for screenshots) are stored locally in your browser (chrome.storage.local).
A local, de-identified lookup cache. So repeat lookups don't re-query Volgistics, the results of the on-demand lookups are kept on your device in chrome.storage.local, keyed by Volgistics' internal record ID. The cache holds only de-identified data — the volunteer number, flag labels, and assignment/service dates — never a name, email address, phone number, physical address, or government ID. Entries expire automatically (flags after 7 days; history results when they age out of their 6-month window), anything unused for 6 months is deleted, and the extension's toolbar popup clears the whole cache with one click.
Everything else stays on screen only. The rest of what the extension reads from Volgistics — names, the roster itself — is displayed and held only in the memory of the open page; it is discarded when the page closes and is never written to disk, exported, or transmitted anywhere.

The one action that changes Volgistics: signing a volunteer out

From the enhanced Who's Here view you can sign a volunteer out. The extension always shows a confirmation dialog first — with the sign-out time, which you can adjust — and acts only when you confirm. Even then, it simply operates the Volgistics page's own edit form and Save button on your behalf: exactly the clicks you would make yourself, verified at every step and cancelled at any mismatch. This user-confirmed sign-out is the only way the extension ever changes anything in Volgistics.

What the extension never does

Apart from the user-confirmed sign-out described above, it never changes Volgistics data — it never checks anyone in, edits schedules, or creates or deletes records, and it never acts without your explicit confirmation.
It never stores names or contact information, and never exports volunteer or guest data.
It never transmits data to GKTW servers or any third party.

Permissions

The extension requests only standard browser permissions: local storage for its settings and the de-identified lookup cache described above, and access to www.volgistics.com so its script can run on the Volgistics pages you already have open (including re-attaching after an extension update so you don't have to log in again).
